About The Role
Key Responsibilities
  • To proactively manage and organise the diaries for all Synectics staff. Including being direct support to all HoDs of the company.
  • Liaising with staff in supporting departments and with external contacts/ customers.
  • Meeting and greeting visitors at all levels of seniority.
  • Undertake any other duties as requested in accordance with the scope and responsibilities of the role.
  • Collate all teams’ expenses, match receipts with transactions and acquire sign off. Once completed to be passed onto the finance department.
  • To manage the Administration meeting HUB mailbox and ensure all requirements for the departments are met efficiently and effectively.
  • Attend team meetings – taking minutes to type up and distribute to relevant people, as and when required.
  • To provide full administrative support, including typing, undertaking shorthand if applicable, photocopying and preparation of documentation using Microsoft Word, Access and Excel as required.
  • AD-Hoc general coordinator requests for Company Operations.


    Travel Arrangements;

  • Collate all travel requirements to enable you to complete a travel request form.
  • Book hotel accommodation, train travel and/ or Driver and any other requirement needed to support all staff when visiting clients.
  • Manage allocated team calendars – i.e. inputting travel details once arranged (hotel details, train times etc.)
  • Client pick up requests to and from the train station / hotels as and when required.
About You
  • Knowledge of Synectics Solutions business and objectives.
  • Strong decision making skills
  • Strong organisational skills and ability to prioritise all tasks.
  • Time management skills to ensure that deadlines are met.
  • Able to give clear and concise direction via e-mail or vocally.
  • Proficiency in using office equipment such as fax machines and photocopiers
  • Demonstrate excellent active listening skills
  • Ability to multi-task in a fast paced environment
  • Able to handle sensitive documents in a very confidential manner
  • Excellent attention to detail and communication skills
  • Ability to multitask whilst prioritising own workload
  • Ability to work alone but also collaboratively within a team
  • Confidence to work on own initiative
  • To hold a full driving license
